Call to order at 5:00pm. Chair Dennis Cavanaugh presiding.
Chair Dennis Cavanaugh paid Plante & Moran for last year's tax preparation services. The IRS now requires that Form 990 be filed electronically. Larry Porn reminded that donations to GFN are recorded in the office database and available for tax reporting.
Consultant Verification.
Discussed modification of consultant fees for Kenny Thomas for maintenance of the GFN server. The Board agreed to offer the rate of $30 per hour for a maximum of fifteen (15) hours per month, for a maximum total fee of $400 per month, with prior approval required if additional hours are needed to assure proper operation of GFN systems in any month. Scott Gifford moved making the offer and Larry Porn seconded the motion. The Board approved the offer by acclamation. Kenny was promised $405 for services next month. If accepted by Kenny, the Board approved rate would apply for successive months of service.
Status of Co Location Bids.
OTC offered $500 per month for server co-location plus $200 for rental of office space. Office space will not be available if servers are not co-located at OTC. A co-location bid is expected Monday (01/26/2009) from Sector Link. Scott Gifford expects a bid around $200.
A number of locations are being investigated as possible office relocation sites. Office space may be available at the YWCA (10ft by 10ft) for about $250 a month. GFN would need to supply office furniture and install a DSL connection. Also, office space at C/CAN (Consortium on Child Abuse & Neglect) may be made available. Nicky Hodge suggested that Community of Christ Church on Bristol Road may have space to let. She and Denny will inspect that space Friday morning (01/23/2009.) Office space (10ft by 10ft) with Internet access may be available at the Resource Center.
It was decided to wait for the Sector Link offer before deciding which way to go. A concern is which location provides best postal mail receipt and access for member walk in.
Office Report.
None due to consideration of office relocation matters.
System Report.
None beyond consideration of consultant fee reduction.
Website Report.
Chad Cramer reported on coming action to consolidate functions between the RADIUS, Mail, Untangle and Web servers. Some functions will be switched around among the servers to reduce processing load. Scott will send a 1025 notice to GFN membership advising of possible short term service interruptions.
Matters Arising.
Larry Porn moved and Scott Gifford supported the induction of Nicolette Hodge as a new GFN Board member. The motion carried.
Larry Porn moved and Scott Gifford supported tabling the selection of GFN officers for the next year until the next Board meeting. The Board will maintain “Status Quo” until things settle down.
Scott Gifford will try to get around to completing the setup of a GFN PayPal account. Effort will be made to try and get members to check their email on the GFN mail server for account renewal notices and use PayPal to renew their accounts.
